Examination Cell
Prologue
The examination cell was constituted by the University with the objective of conducting internal examinations with the desired degree of credibility, uniformity and transparency with a well-defined element of accountability. While taking stock of the journey over the years, it is felt that a lot has been achieved and the desired system has been successfully put in place.
Objectives of Exam Cell
• To take all necessary steps to ensure timely, smooth and transparent conduct of examination (U.G. & P.G.) with desired credibility and uniformity.
• To co-ordinate with the authorities of the University and the constituent colleges to ensure compliance with the objective above.
• To maintain the record of all pre and post examination activities along with the batch-wise, faculty-wise results and ananalysis thereof. (Paper setting, moderation, valuation & timely declaration of the result).
• To identify the underachievers based upon their performance in the I PCT (Faculty for Medicine, Dentistry / Ayurveda, Nursing & Physiotherapy), Prelims (Medicine / Ayurvedic examination (students scoring less than 30% marks) and refer them to the Heads of the Institutions for intense coaching, guidance or counselling as per their need assessment.
• To encourage and train the students to follow the examination code of conduct and disciplinary rules and discourage & prevent aberrant behaviour to ensure discipline & sanctity of the examination system.
• To adopt policies like E Question bank; model answers; validation, improvement and enrichment of the question banks (Paper set using EQB).
• A Special Monitoring &Evaluation Committee for the formative exam shall be formed by the Co-Convener & Dean Examination.

Broad Responsibilities of the Committee
• To prepare an annual calendar of formative examinations of all constituent colleges at the beginning of each academic year, to be incorporated in the annual academic calendar.
• To conduct various notified examinations scrupulously following the schedule as laid down in the policy guidelines.
• To ensure that the result is declared as per the schedule and is uploaded on the official University website.
• To identify the under achievers and refer them for guidance and counselling under the information of the head of the institutes.
• To monitor the usage and make efforts for continuous improvements and enrichment of various learning resources.
• To make efforts for continuous quality enhancement with the help of ICT.
Theory Exam Prelims:-
Steps to be followed during Theory Prelim Exam:
- Internal Validators to report half an hour before the start of the exam. The list of validators shall come from HOD.
- Meeting of invigilators two days prior to examination.
- Final validation by the Dean Academics of the concerned examination.
- Visit round by the Dean & Dean Academics during the ongoing theory exam.
- Every concerned authority shall sign the register at the Exam cell.
- Mobiles to be switched off before entering the Exam cell.
Practical Exam Prelims:-
Steps to be followed during the Practical Prelim Exam:
- Practical observer nominated by the Convener, University Exam Cell shall visit the practical exam centre on the days of the scheduled practical exams.
- Officer In-charge (HOD) shall appoint an examiner for the practical examination.
- The examination shall be conducted as per University guidelines of practical examination.
- The observer shall submit his report to the Convener within 5 days after the conduction of the practical exam.
SOP on Formative Examination as Mirror Image of Summative Exam:-
The prelim exam at DMIHER (DU) is a mirror image of final university examination.
Grievance Redressal mechanism:-
A Grievance is any discontent or dissatisfaction, whether expressed or not, whether valid or not, arising out of anything connected with the Institute that a student or an employee thinks, believes, or even feels, is unfair, unjust or inequitable.
Objectives:
- Linking with a well-defined Grievance Redressal System to make it acceptable to all.
- All actions should be prompt for better redressal of Grievance in a time bound manner.
- To make the redressal process fair, impartial, consistent, with prior warnings and commensurate with gravity of misconduct.
- Aim should be on prevention of misconduct rather than controlling through punitive measures.
Classifications:
Understanding the Grievance:
Open Door Policy: A student can drop in the Concerned Officer’s room and talk informally over his/her grievance with the concerned Officer. They may even present the grievance through the official contact numbers of the said officers. Grievances related to policy matters can be brought out in periodic meetings of preceptors, College Council, Hospital Advisory Committee, Jt. College Council and Library committee.
There are two types of grievances related to Examinations
1) Student not appearing for the formative examination on genuine ground
2) Students have grievance regarding their performance in the formative examination.
Redressal mechanism
1) A separate examination is conducted for those students who remain absent on genuine reasons within 15 days on producing a recommendation certificate from their HOI
2) Redressal to the Grievances regarding performance in the formative examination.
- After the valuation & moderation of Answer sheets a provisional mark sheet is prepared.
- Valued answer sheets along with provisional mark sheet subject wise are sent to the respective departments.
- Valued answer sheets are shown to the students in special lecture allotted to avoid delay in submission of final result.
- Corrections noticed by the students are done by the subject teacher in the answer sheets, corrected marks are entered in mark sheet and corrected final mark sheet thus prepared is submitted to Exam Cell with the signature of concerned teacher and HOD.
- Once the practical marks from the department are received the result is uploaded on website of the University, copy of which is sent to the concerned departments and student section to display on students notice board.
